Our Organizational Mailbox (MILL_OMPF-CHG) Procedures

Important Reminder:  Documents missing from the OMPF must be mailed, we cannot accept electronic (email/fax) documents for filing to the OMPF.  Please contact your servicing PSD Office (or designated Pay and Personnel Unit Identification Code (PPUIC)) for assistance.
 

If you do not wish to send us information over the internet, you can mail your request to the address listed at the bottom of this page.


If you prefer to send your request electronically, you can submit an encrypted email (see below for certificate issues) to our Organizational Mailbox (see Send Us Your Corrections under Helpful Links).


When submitting an email please do not list any Personally Identifiable Information (PII) in the Subject line of the email.  The information in the subject line is not protected.


Note:  Any part of the SSN is now considered PII (example: last four digits of the SSN is PII and must be protected).


Please do not send multiple requests for the same issue.  This will delay our production effort. If you have submitted a request to our Organizational Mailbox, your request is here pending process/review.  We do not open the emails as they arrive, only when we are ready to process it (this could take up to 30 days).  An auto-reply message is sent to you once your email arrives (see below regarding auto-reply messages).  Please review your OMPF record periodically for the requested update.  You can review your record in real-time using BOL and the "OMPF - My Record" application.  See our webpage under Official Military Personnel File (OMPF) - My Record for more information.
 

When we process a request, if there is missing information (or the request contains action for another office) we will close the request without any action taken and reply back to the sender. To prevent any longer delays in processing requests, we strongly request that you review our FAQ section and read the "Important Notes" below.

Certificates for Encrypted Emails

If you are sending from a non-NMCI machine, you will have to download the certificate.

Enter the complete email address "MILL_OMPF-CHG@NAVY.MIL" in the "email address" then select search and follow the instructions.

Important Notes

Please submit only one request for record corrections either by email or by mail.  Submitting more than one request can result in incorrect document removal and delays our production effort.


When sending a request via email, please do not send the request as an attachment.  Put your request with all required information into the text body of the email request.


Ensure your Name, SSN, and email address is in your request (Note we cannot locate records using the DODID/EDIPI number, records are stored by SSN only).


PERS-313 isn't responsible for updating ODC/PSR/ESR/OSRs.  Update requests received for these records will be returned without action.


If you require another office to correct your record(s) you will have to contact them directly:

  • Personal Awards - Contact your NDAWS Authority (see Decorations and Awards)
  • NSIPS/ESR - Contact your command that has jurisdiction over your ESR record (see Electronic Service Record)
  • For Online Records - See “Record Maintenance Agency”
  • For Evaluations / Fitness Reports (this includes PIMs, Letter-Supplements, Administrative Changes, Extension Letters, or PSRs) (this also pertains to removal of documents filed under Field Code 03/35) - Contact PERS-32 “Contact Us”
  • ODC/PSR/OSR - Contact your servicing CSD or PSD for assistance updating these records
